1. Who We Are
Texas Lead Engine (“we,” “us,” or “our”) operates the website at texasleadengine.com and related services. We provide business intelligence, health scoring, and advisory tools for small businesses and the accounting professionals who serve them.
2. Information We Collect
We collect information in the following ways:
- Information you provide: When you use our Health Check widget, contact forms, or sign up for services, you may provide your name, email address, phone number, and business name.
- Financial data via QuickBooks: If you or your accounting professional connects a QuickBooks Online account to Texas Lead Engine, we access financial reports (Profit & Loss, Balance Sheet) through Intuit’s official OAuth 2.0 API. We only access the specific data scopes you authorize, and we store summarized report data (revenue, expenses, margins) to generate health assessments.
- Public records: We collect publicly available business filing data from state agencies (e.g., Texas Secretary of State, Texas Comptroller) to score and enrich business profiles.
- Usage data: We collect standard web analytics (page views, referrer, IP address, browser type) to improve our services.
3. How We Use Your Information
- Generate business health scores and financial snapshots
- Provide advisory reports to your authorized accounting professional
- Send transactional emails (health reports, booking confirmations, drip sequences you opted into)
- Improve and develop our products and services
- Comply with legal obligations
4. QuickBooks Data Handling
When you authorize a QuickBooks Online connection, Texas Lead Engine accesses your financial data solely through Intuit’s official API using OAuth 2.0 tokens. Specifically:
- We request only the
com.intuit.quickbooks.accounting scope. - Access tokens are short-lived and automatically refreshed. Refresh tokens are stored securely in our database and encrypted at rest.
- We do not sell, share, or transfer your QuickBooks data to third parties.
- We store summarized financial metrics (total revenue, net income, expense ratios) derived from your reports — not raw transaction-level data.
- You or your authorized accounting professional may disconnect QuickBooks at any time, which revokes our access and deletes stored tokens.
5. Data Sharing
We do not sell your personal information. We may share data in the following limited circumstances:
- With your authorized advisor: If you are a client of a partner firm (e.g., a bookkeeping firm), your health scores and financial snapshots are visible to that partner through their dashboard.
- Service providers: We use third-party services for hosting, email delivery, and analytics. These providers process data on our behalf under strict confidentiality agreements.
- Legal requirements: We may disclose information if required by law, regulation, or legal process.
6. Data Security
We implement industry-standard security measures including encrypted data transmission (TLS/SSL), encrypted data storage, secure OAuth token management, and access controls. While no system is 100% secure, we take reasonable steps to protect your information.
7. Data Retention
We retain your information for as long as your account is active or as needed to provide services. Financial report data is retained for up to 24 months. You may request deletion of your data at any time by contacting us.
8. Your Rights
You have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your data
- Disconnect QuickBooks and revoke data access at any time
- Opt out of marketing communications
9. Cookies
We use essential cookies to maintain session state and optional analytics cookies (including Meta Pixel) to measure advertising effectiveness. You may disable cookies in your browser settings, though some features may not function properly.
10. Changes to This Policy
We may update this policy from time to time. Material changes will be communicated through our website or by email. Your continued use of our services after changes constitutes acceptance.
